Position Summary & Overall Purpose

The Database Associate works closely with the Manager of Finance & Administration, the Director of Donors Relation and the Executive Director.  The primary responsibilities of this position are to manage the CRM database with precision, support the Finance & Admin Coordinator, deliver excellent customer service to donors, and support the goals of the organization and team.

 

This 25 hour/week role contributes to an organizational culture of collaboration, flexibility, teamwork, cooperation and mutual respect which supports an environment where everyone is motivated to work hard, innovate, be creative and laugh a lot.

Primary Responsibilities

Maintains electronic records in all databases:

  • Maintains accurate and updated records
  • Inputs all campaign information into CRM database, as per established protocols and procedures
  • Updates, maintains and distributes campaign reports from donor database on daily basis
  • Works with the team to provide reports and analysis of workplace accounts by using designated reporting system and by customizing reports at request of ED and Director, Donor Relations
  • Ensures the balancing of campaign donations with bank deposits on a daily, monthly and annual basis

Creates and distributes the following reports:

  • Monthly Campaign pledge receivable records including quarterly identification and analysis of potential risk of pledge loss
  • Provides support to the Leaders program with the generation of accurate leader updates to ensure accuracy with the Leader Challenge tracking program
  • Periodic campaign reports including dollars, activity and plans
  • Year-end reports for financial auditors
  • Quarterly pledge receivable and designation reports for review with ED and Finance
  • Requested reports, labels or other necessary data for Resource Development department
  • Any requested historical data

 

Work with Director, Donor Relations to print and distribute official tax receipts within 45 days of receipt of the gift

 

Online Donation Platforms

  • As per protocol, and in collaboration with Director, Donor Relations and Finance Manager, manage the online donation platforms such as Stripe, CanadaHelps, and Benevity

 

Other duties as may be assigned or may come up as part of organizational requirements

Job Qualifications

Education & Experience

  • Post-secondary education in business, administration, office management, or a related field is considered an asset.
  • An equivalent combination of education, training, and relevant work or volunteer experience will also be considered.
  • Experience working in an office environment with administrative, financial, or data-related responsibilities is preferred, ideally within the non-profit sector.

Knowledge, Skills & Abilities

  • Comfortable using Microsoft Office programs, particularly Excel, Word, and Outlook.
  • Basic understanding of business processes such as data entry, record keeping, and simple accounting practices.
  • Experience working with databases or accounting software is an asset.
  • Strong organizational skills and attention to detail.
  • Able to manage multiple priorities and meet deadlines in a busy work environment.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to work both independently and collaboratively as part of a team.
  • Willingness to learn new software, systems, and processes.
  • Adaptable and comfortable working in a flexible and evolving office environment.

Details

  • $30,000 per year (25 hours/week); ideally 5 hours per day – willing to be flexible
