Summer Program Coordinator – contract position

Responsible for coordinating the Backpacks for Success program, ensuring over 1,200 elementary and high school aged children in the Hastings & Prince Edward region start the school year with sufficient school supplies. The Summer Program Coordinator will also support multiple summer fundraising and community impact events, including Day of Caring, and provide administrative support such as organizing product drives (e.g., Period Promise), donor thanking, and developing an inventory of potential grants..
Key Responsibilities
Backpack Program
With support from the Director, Community Impact,
- Responsible for inventory, ordering all supplies needed for program,
- Coordinate supply drives to encourage donations by community,
- Organize and implement registration for programs
- Coordinate volunteer needs program
- Organize and implement distribution.
- Provide periodic reports and a final program debrief, including remaining inventory figures, to manager
Summer Events
With support from the Campaign team, the Summer Program Coordinator will:
- Work with volunteers and staff to plan, implement, and evaluate United Way fundraising events and community impact events (including Day of Caring). This will include assisting with goal-setting, preparing event materials, making outreach calls, and tracking financial and non-financial activities such as sponsorships, volunteer hours, and participant engagement.
- Coordinate logistics including event set-up, volunteer recruitment and recognition, event-day support, and clean-up following events.
- Support community activations that strengthen public awareness of United Way’s work and encourage participation in seasonal campaigns.
Administrative Support
The Summer Program Coordinator will also:
- Support donor stewardship, including preparing thank-you messages and assisting with recognition activities.
- Help build and maintain an inventory of potential grants, including basic research and documenting eligibility criteria, deadlines, and opportunities.
- Assist with product drives and distributions, such as the Period Promise campaign, including donation tracking, sorting, packaging, and coordinating drop-off/pick-up logistics.
- Provide general administrative support, including data entry, filing, scheduling support, and maintaining updated program documentation.
Knowledge, Skills and Abilities
- Ability Experience in an office environment
- Strong keyboarding and computer skills
- Proficient in Microsoft Office programs
- Excellent communication, organizational and interpersonal skills
- Ability to create and maintain good working relationships with a variety of internal and external constituents
- Interest in the not-for-profit sector and volunteerism
- Understanding and patient demeanor
- Good with children and adults alike
- Excellent verbal and written communication skills are required
- Possess a vehicle and valid drivers license

- between 15 and 30 years of age (inclusive) at the start of employment;

United Way Hastings & Prince Edward operates Monday-Friday from 8:30am-4:30pm. The nature of these program requires some evening and weekend work which will be compensated accordingly.
